This Cancellation Policy explains how cancellations and changes to your transfer reservation are handled by Smart Luxury Transfers Rhodes. Our aim is to provide a fair, transparent, and flexible policy that respects our guests while allowing our team to plan transfers efficiently and professionally. Please read the information below carefully to understand how cancellations, changes, and refunds are managed.

General Information

We understand that travel plans may change due to flight schedules, personal arrangements, or unexpected circumstances. For this reason, we apply a clear cancellation structure that offers flexibility while ensuring proper preparation of our services. Once a reservation is confirmed, a vehicle and driver are allocated and operational planning begins.

Free Cancellation and Full Refund Policy

You may cancel your reservation free of charge and receive a full refund when the cancellation request is made at least 14 days before the scheduled pickup date. This period allows us to reorganise planning, release allocated resources, and adjust scheduling without operational impact.

  • A full refund is provided for cancellations made 14 days or earlier before the transfer date
  • Cancellation requests must be submitted by email, phone, or through our online contact form
  • All cancellations are confirmed in writing by our team

Cancellations Made Less Than 14 Days Before Pickup

If a cancellation is made less than 14 days before the scheduled pickup date, the service becomes non refundable. At this stage, a vehicle and driver have already been reserved specifically for your transfer and operational costs have been committed.

  • Cancellations made within 14 days of the transfer date are not eligible for a refund
  • Late cancellations are treated as a confirmed service

Modifying Your Reservation

If you need to modify your pickup time, destination, or other transfer details, please contact us as early as possible. We will always make reasonable efforts to accommodate changes based on availability. Modifications requested well in advance are usually handled without additional charges, however same-day or last-minute changes cannot be guaranteed.

  • All changes depend on vehicle and driver availability
  • Modifications are valid only after written confirmation from our team

Flight Delays and Unexpected Events

Flight delays or schedule changes may occur without notice. When informed in a timely manner, we will adjust the pickup time whenever possible to match the updated arrival. Delays communicated promptly do not incur cancellation penalties.

  • Flight delays do not result in charges when communicated in advance
  • Pickup times may be adjusted according to updated arrival information

No Show Policy

A no show occurs when the passenger does not appear at the agreed pickup point and no communication is received. In this case, the service is considered completed, as the driver has arrived, waited for a reasonable period, and the vehicle has been exclusively allocated.

  • No show reservations are fully charged
  • Drivers wait for a reasonable period unless instructed otherwise

How to Cancel or Modify Your Booking

You may cancel or request changes to your reservation at any time by contacting us with your name, reservation reference, and transfer date. For your security and clarity, all cancellations and modifications must be confirmed in writing. You may also manage your reservation through the “My Reservation” option using your email address and reservation reference number.
